Finding a trustworthy freight forwarder can make or break your supply chain. This guide walks you through exactly what to look for, what questions to ask, and red flags to avoid.

What Does a Freight Forwarder Actually Do?

A freight forwarder is your logistics manager โ€” they arrange the transport of goods from origin to destination, handling the booking of ships, planes, and trucks, preparing export and import documentation, managing customs clearance, arranging insurance, and coordinating all parties in the supply chain. They do not own the ships or planes โ€” they are intermediaries who leverage their relationships and volume to get you competitive rates.

Where to Find Freight Forwarders

The best forwarders are found through referrals from other importers in your industry, industry directories such as NavilinkGlobal, logistics networks (WCA, FIATA, JC Trans), trade association membership lists, and LinkedIn searches. Avoid relying solely on cold email outreach โ€” verify credentials first.

Key Criteria When Evaluating a Forwarder

Licensing and memberships: In most countries, freight forwarders must be licensed. In the US, look for FMC (Federal Maritime Commission) licensure. In the UK, BIFA membership. Internationally, FIATA membership is a good indicator. Always ask for their license number and verify it.

Specialisation: A forwarder who handles your specific cargo type (e.g. perishables, hazardous goods, project cargo) and trade lane (e.g. China-USA, India-Europe) will be far more effective than a generalist.

References: Ask for 2โ€“3 references from current clients in your industry. Any credible forwarder will provide these without hesitation.

Financial stability: Your cargo will be in their custody and you will be paying them in advance. A financially unstable forwarder is a serious risk. Check if they carry cargo liability insurance.

Questions to Ask a Freight Forwarder

  • What trade lanes do you specialise in?
  • Do you have your own offices or agents at my destination?
  • What is your process if cargo is delayed or damaged?
  • Are you licensed/bonded? Can you share your license number?
  • Do you offer cargo insurance?
  • What are ALL the charges โ€” are there any fees not in this quote?
  • How do you communicate shipment status updates?

Red Flags to Avoid

  • Unusually low rates with vague terms โ€” hidden charges appear later
  • No physical address or only a PO Box
  • Refuses to provide references
  • Cannot provide a detailed, itemised quote
  • Pressure to pay immediately or by unusual methods
  • No cargo insurance option offered

How to Compare Freight Quotes

Always get at least 3 quotes for the same shipment on the same Incoterms. Compare line by line โ€” freight cost, origin charges, destination charges, documentation fees, and any surcharges. The cheapest all-in quote is what matters, not the lowest headline freight rate.
